Kathgodam Taxi provides taxi, tour and pilgrimage transport services in the Kumaon region of Uttarakhand, India. This policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and how you can have it deleted.

1. Information we collect

Booking information

When you book through this website, we collect the details you enter into the booking form:

  • Your name, phone number and email address
  • Trip details — pickup and drop locations, travel dates and times, number of passengers, vehicle preference, and any hotel or itinerary notes you provide
  • The payment screenshot you upload to confirm your advance payment

We do not collect or store card numbers, UPI PINs, bank credentials or any other payment instrument details. Payment happens in your own UPI app; all we receive is the screenshot you choose to send us as proof.

Contact and enquiry forms

If you submit an enquiry through the contact form, we collect your name, phone number, email address and the message you write.

WhatsApp enquiries

This is the part most people ask about, so it is set out in full. When you message our business number on WhatsApp, we store the conversation so we can quote, book and follow up on your trip. Specifically, we store:

  • Your phone number, as it appears to WhatsApp, along with the profile name WhatsApp supplies
  • The content of your messages — the full text of what you send us, kept as a conversation transcript
  • References to any media you send — photographs, documents, voice notes and similar. We store the identifier WhatsApp gives the file and, where the file is needed to serve you (for example a payment screenshot), the file itself
  • Timestamps and message status — when each message was sent and received, and whether it has been replied to
  • Details you give us in conversation — travel dates, destinations, passenger counts and similar, which we may record as structured booking information

Website analytics

We use Google Tag Manager and PostHog to understand how the site is used — pages viewed, approximate location, device and browser type, and interactions such as starting a booking. This is used in aggregate to improve the site. We do not use it to build advertising profiles about you.

2. How WhatsApp messages reach us, and Meta's role

Our WhatsApp business number is connected to the WhatsApp Business Platform, which is operated by Meta. This has consequences you should understand:

  • Meta processes your messages before we ever see them. Every message you send to our business number passes through Meta's systems and is handled under WhatsApp's own Privacy Policy, which governs that processing independently of this policy.
  • Our number runs in "Coexistence" mode. The same number is used both on the WhatsApp Business app on our staff's phone and through the WhatsApp Business Platform. Replies our team sends from the phone are mirrored into the same system and stored alongside your messages, so the conversation history stays complete on both sides.
  • Existing conversation history may be imported. When we connected our number to the platform, WhatsApp offered the option to import up to six months of prior message history. Where that option was taken, conversations you had with us before that date may also be stored in the system described here.

3. Automated replies

Some replies from our WhatsApp number may be generated automatically — for example, a fare quote assembled from our published rate card, or a reminder about an upcoming trip. We want to be straightforward about this:

  • Automated messages are sent in the name of Kathgodam Taxi. They will never claim to be a person, and if you ask whether you are speaking to a human, you will get an honest answer.
  • A real person is always reachable. You can ask to speak to someone at any point in the conversation, or simply call us on 7351721351.
  • Automation is limited to our own services — quoting fares, checking vehicle availability, taking booking details and sending trip reminders. It is not a general-purpose chatbot.
  • Anything involving a complaint, a refund, a cancellation or a negotiated price is passed to a person.

4. How we use your information

  • To quote fares, check vehicle availability and confirm your booking
  • To contact you about a trip — confirmations, reminders, driver details and changes
  • To collect and verify your advance payment
  • To answer questions and resolve problems
  • To keep records required for tax and accounting purposes
  • To understand how the website is used, in aggregate, and improve it

We do not use your information for automated decisions that produce legal effects, and we do not use your WhatsApp conversation to target advertising at you.

5. Who we share it with

We do not sell your personal information to anyone. We share it only with:

  • Meta / WhatsApp — as the operator of the WhatsApp Business Platform through which our messaging runs
  • Sanity — the content and database service where booking and enquiry records are stored
  • Cloudflare — the hosting provider that serves this website
  • Resend — the email service that delivers booking confirmations and notifications
  • PostHog and Google — website analytics
  • Our drivers — who receive the trip details needed to complete your journey: your name, contact number, pickup point and destination
  • Authorities — where we are legally required to disclose information

6. How long we keep it

  • WhatsApp and enquiry conversations: up to 24 months from your last contact with us, after which they are deleted.
  • Completed booking records: retained for as long as Indian tax and accounting law requires us to keep records of the transaction.
  • Payment screenshots: deleted once the payment has been verified and the trip has been completed, unless there is an open dispute.
  • Analytics data: retained in aggregate form according to the retention settings of the analytics services named above.

7. Your rights and how to delete your data

You can ask us to:

  • Tell you what information we hold about you
  • Correct anything that is wrong
  • Delete your information
  • Stop sending you messages

To request deletion of your data, see our Data Deletion page, which sets out exactly how to make the request and how quickly we will act on it. You can also simply reply STOP to any WhatsApp message from us and we will stop messaging you.

8. Security

The website is served over HTTPS. Administrative access to booking and conversation records is password-protected and session-limited. Messages from WhatsApp are verified cryptographically before we accept them, so a third party cannot inject messages into your conversation history. No system is perfectly secure, but we take reasonable measures appropriate to the sensitivity of the information we hold.

9. Children

Our services are intended for adults. We do not knowingly collect information from children under 18. Children travel with us only as passengers accompanied by a responsible adult, whose details are the ones we record.

10. Changes to this policy

We may update this policy as our services change. The revised version will be posted on this page with a new "last updated" date.
